BUILDING AN ACCESS DATABASE TO MANAGE ALUMNI INFORMATION

Laptop and spreadsheet workspace

GETTING STARTED

1. Save the file SC_AC365_EOM1-2_FirstLastName_1.accdb as SC_AC365_EOM1-2_FirstLastName_2.accdb

a. Edit the file name by changing “1” to “2”.

b. If you do not see the .accdb file extension, do not type it. The file extension will be added for you automatically.

2. To complete this Project, you will also need the following files:

Support_AC365_EOM1-2_Employees.accdb

3. With the file SC_AC365_EOM1-2_FirstLastName_2.accdb open, ensure that your first and last name is displayed as the first record in the _GradingInfoTable table.

a. If the table does not display your name, delete the file and download a new copy.

PROJECT STEPS

1. Dairy State Community College has four locations in the state of Wisconsin, and each campus has an alumni association, which serves as a center for fundraising and promotion of the college. You work in the main alumni association as an information specialist and are improving a database by creating and modifying tables, queries, forms, and reports. Import the Staff table from the Support_AC365_EOM1-2_Employees.accdb Access database to include data about the association's staff. Do not save the import steps. Open the Staff table in Datasheet View and resize the columns to their best fit to display the entire field names and values. Save and close the Staff table.

2. Open the Families table in Datasheet View. Rename the ID field to use FamilyID with a field size of 4 to fit the length of the field data. Change the data type of the Income field to Currency with no decimal places since the field contains whole dollar values. (Hint: Click Yes whenever Access indicates that some data may be lost.) Save and close the Families table.

3. Create a table in Design View to store data about donor levels. Add a field named LevelID with a Short Text data type. Add a field named MinIncome with a Currency data type. Add a field named MaxIncome with a Currency data type. Define LevelID as the primary key. Save the table with the name DonorLevels, and then close the table.

4. Open the Programs table in Datasheet View and add a new record with P06 as the ProgramCode value, Athletics as the Description value, and 30 as the MinParticipants value to store data about a missing alumni program.

5. With the Programs table still open in Datasheet View, delete the record for ProgramCode P08 (Dean's Honor Roll) because that program has been discontinued. Modify the Description value for the record with ProgramCode P02 (Founders Month), using Founders Week as the correct value. Close the Programs table.

6. Use the Simple Query Wizard to create a new query listing alumni names. Choose the AlumniID, FirstName, and LastName fields from the Alumni table. Use AlumniListing as the name of the new query, open the query to view information, a portion of which is shown in Figure 1, and then close it.

7. Create a new form based on the Families table using the Form tool to provide a data-entry form for family data. Rename the form using FamilyInfo as the name, switch to Form View, confirm that the form matches Figure 2, and then close it.

8. Use the Report Wizard to create a new report. Choose the CampusID, CampusName, City, and State fields from the Campuses table to list campus data. Do not add any grouping levels. Sort the records in ascending order by City. Use a Tabular layout and a Portrait orientation. Title the report CampusList, preview the report, shown in Figure 3, and then close it.

Save and close any open objects in your database. Compact and repair your database, close it, and then exit Access. Follow the directions on the website to submit your completed project.
