PERFORMING A MAIL MERGE WITH A NEW RECIPIENT LIST

GETTING STARTED

1. Save the file SC_WD365_EOM6-1_FirstLastName_1.docx as SC_WD365_EOM6-1_FirstLastName_2.docx

a. Edit the file name by changing “1” to “2”.

b. If you do not see the .docx file extension, do not type it. The file extension will be added for you automatically.

2. With the file SC_WD365_EOM6-1_FirstLastName_2.docx open, ensure that your first and last name is displayed in the footer.

a. If the footer does not display your name, delete the file and download a new copy.

PROJECT STEPS

1. As a marketing assistant for the B.K.T. Marketing Services agency in Missoula, MT, you are preparing a form letter to send to existing client accounts to inform them of a new offer. Convert the five paragraphs in the middle of the letter beginning "Marketing Service…" and ending "…$850" into a table using tabs to separate the columns.

2. Set the column width set to AutoFit to Contents and apply the Grid Table 4 – Accent 6 table style to the table. Center align the table on the page.

3. To set up the document as a form letter, start the Step-by-Step Mail Merge Wizard, accept Letters as the document type, and then choose to use the current document as the starting document. Choose to create a new recipient list, and then customize the columns in the recipient list by deleting the Home Phone and E-mail Address fields. Rename the Country or Region field Account Manager and rename the Work Phone field Account Manager Phone. Add a new field to the end of the recipient list using Join Date as the field name.

4. Save the data source as SC_WD365_EOM6-1_FirstLastName_3.mdb, then enter the address information for two recipients as shown in Table 1.

5. Continue to Step 4 in the Mail Merge Wizard, and then use the Date content control with the "CLICK HERE TO SELECT A DATE" placeholder text to select the date April 5, 2027.

6. Replace the placeholder text "INSERT INSIDE ADDRESS" with an AddressBlock merge field using the Mr. Joshua Randall Jr. format.

7. Replace the placeholder text "INSERT GREETING LINE" with a GreetingLine merge field using the Dear Mr. Randall format.

8. In the first and last paragraphs in the body of the letter, replace the "[COMPANY NAME]" placeholder text with the "Company_Name" merge field to include the name of each company. In the last paragraph in the body of the letter, replace the "[ACCOUNT MANAGER]" and [ACCOUNT MANAGER PHONE] placeholder text with the "Account_Manager" and "Account_Manager_Phone" merge fields to include the account manager's name and phone number for each company.

9. At the end of the first sentence in the last paragraph in the body of the letter ("Please contact…business's needs."), insert an If…Then…Else rule that compares whether the Join Date field is less than 2023. If it is, insert the following sentence: As a special bonus for your loyalty, please take an additional 5% off the above prices. Otherwise, do not insert any additional text. Make sure a space appears before and after the rule. (Hint: If the rule doesn't appear, right-click, then click Toggle Field Codes to view the code for the merge rule.)

10. Continue to Step 5 of the Mail Merge wizard, and then edit the recipient list to sort the data records in ascending order by Last Name to generate the letters in alphabetic order by the recipient's last name.

11. Continue to Step 6 of the Mail Merge wizard, and then click "Edit individual letters…" and merge all records to a new document. In the new document containing the merged form letters, press CTRL+A to select all contents in the document, and then copy the selected text to the Office Clipboard. In the original form letter document, insert a new page, then paste the merged form letters in the blank paragraph at the top of Page 2 so that all your assignment appears in the same file. Delete the page break and the Next Page section break at the bottom of Page 3 to make the document three pages long. Turn off the preview of the mail merge results, and save the original form letter document. Close the new, merged document without saving it. (Note: When opening your file or the Graded Summary report for this Project, you may be prompted to Select From "Office Address List". Select No in the dialog box to view your report.)

Your document should look like the Final Figure on the following pages. Save your changes, close the document, and then exit Word. Follow the directions on the website to submit your completed project.
